The opportunity

We’re seeking a pro-active HR Administration superstar, with excellent attention detail and a curious mindset to join our supportive and collaborative HR Team.

The HR team is integral to supporting the research that forms the Baker Institute’s mission and provide customer focused services across the full HR scope to the Baker Institute and AMREP AS (a Baker Institute subsidiary).

As an HR Administrator you will work collaboratively with other members of the HR team and in conjunction with the Senior HR Partner be responsible for delivering an exceptional standard of HR administration services to a key client group as well as providing administrative support to the broader HR team as needed.

The role is varied and dynamic in nature and encompasses a broad range of duties and responsibilities which require a focus on accuracy and attention to detail. The HR Administrator will also be given the opportunity to develop their knowledge and skills across a wide range of HR activities with the support and mentorship of the Senior HR Partner.

Key responsibilities

  • Be the central point of contact for general HR enquiries and ensure customer focused services are delivered effectively and to the highest possible standard.
  • Coordinate HR inductions for new starters including running and coordinating the weekly HR tour and monthly induction in conjunction with other members of the HR team.
  • Draft employee contracts, variation letters and other HR documentation as required under the direction of the Senior HR Partner and General Manager, HR.
  • Enter new staff members’ details into Technology One and Employment Hero databases and process payroll data, as required.
  • Assist with the creation of templates, letters and forms and prepare agendas for HR team meetings.
  • Provide effective HR and recruitment administrative support related to volunteers, placement students, collaborators, visiting scientists, honorary appointees and other unpaid people at the Baker Institute, including issuing and processing induction paperwork, using Technology One and Employment Hero to input data and terminations.
  • Coordinate affiliate appointments for staff, visitors and students and ensure they have signed the relevant policies.
  • Manage car parking allocations, liaise with car parking providers and novated lease providers and administer novated leasing documentation.
  • Process paperwork to necessitate timely payment of invoices and manage monthly Salary Packaging appointments.
  • Ensure effective records management including maintaining accurate records, developing new filing systems where appropriate, keeping up to date with all HR and payroll details and ensuring information is kept confidential.
  • Under take a key HR project in conjunction with guidance from the Senior HR Partner/General Manager HR.
  • Provide administrative support to General Manager, Human Resources and Senior HR Partner as required.

Skills and experience

You will have:

  • A relevant tertiary qualification in HR, or relevant work experience within human resources field or a combination of the two.
  • Previous experience in an HR administration role preferred or a willingness and desire to learn.
  • Strong interpersonal skills with a customer centric approach and proven ability to build relationships with a wide range of people at a variety of levels.
  • Excellent time management and organisational skills with strong attention to detail and high levels of accuracy.
  • A demonstrated ability to work in a team environment as well as autonomously without close supervision, as well as a demonstrated ability and willingness to take initiative to improve and enhance existing systems and procedures (quality assurance).
  • Excellent written and oral communication skills.
  • Proficient computer skills.
  • Experience in data entry and database administration.
  • Experience using Ci Anywhere (Technology One) is preferable.
