The opportunity

The Baker Heart and Diabetes Institute is seeking a seasoned and highly capable Senior Executive Assistant to support our Chief Operating Officer (COO). The successful candidate will have a proven track record of managing a diverse range of internal and external stakeholders diplomatically and assertively. This role operates in the highly regulated domain of medical research, thus, the ability to navigate and comply with such regulations is crucial. This role will require the undertaking of specialised tasks and managing projects occasionally.

Key responsibilities

  • Provide high-level executive support to the COO, including calendar management, meeting coordination, and travel arrangements.
  • Build and maintain relationships with a diverse range of internal and external stakeholders, managing communications and interactions diplomatically and firmly.
  • Execute specialised tasks and manage projects as directed by the COO, ensuring timely and efficient completion.
  • Operate within the highly regulated domain of medical research, ensuring compliance with all relevant policies and regulations.
  • Prepare and draft comprehensive reports, manage data and perform analysis as required.
  • Act as a liaison between the COO and other departments, ensuring clear communication and swift resolution of any issues.
  • Collaborate effectively with the wider executive EA team to contribute to the overall success of the executive office.

Skills and experience

You will have:

  • Proven experience as an Executive Assistant in a senior role or similar.
  • Exceptional verbal and written communication skills.
  • Strong problem-solving skills and a proactive attitude.
  • Detail-oriented with a high level of accuracy.
  • Experience in writing reports and managing data.
  • Ability to manage projects and perform specialised tasks as required.
  • Excellent interpersonal skills and the ability to manage a diverse range of stakeholders.
  • Familiarity with the highly regulated domain of medical research.
  • Ability to work effectively as part of a wider executive EA team.
